The Beach Club Collaroy Pro-Am’26 Terms and Conditions*

Event Dates: 25–27 September 2026

Location: Collaroy Beach, Northern Beaches, Sydney

By registering for this tournament, you agree to the following Terms and Conditions:

1. Participant Eligibility and Conduct:

1.1. Participants must comply with the current ITF Beach Tennis Rules and Regulations applicable to the tournament, together with any tournament regulations issued by the Tournament Referee or Tournament Director.

1.2. Poor sportsmanship, disruptive behaviour, or any attempts to bend the rules will not be tolerated.

1.3. Participants must treat all volunteers, officials, referees and fellow competitors with respect. The decisions of the Tournament Referee on the application of the ITF Rules are final. The Tournament Director's decisions regarding tournament operations and scheduling are final.

1.4. Participants are responsible for:

  • Arriving on time for all scheduled matches

  • Checking the Order of Play

  • Reporting to the referee when called

  • Bringing suitable clothing, footwear and equipment

  • Ensuring they are medically fit to compete.

If a player fails to appear when called, the Referee may apply the ITF default rules.

2. Assumption of Risk:

2.1. Participants acknowledge and agree that participating in beach tennis involves inherent risks, including but not limited to, physical injury, illness, and property damage.

2.2. Sydney Beach Tennis School, its directors, officers, employees, volunteers and affiliates are not liable for any injury, loss, damage or expense suffered by participants, except where liability cannot be excluded by law.

2.3.Participants are responsible for their own equipment. Loan racquets may be available but are used at the participant's own risk. Any loss or damage to borrowed equipment may incur replacement costs.

3. Release and Waiver:

3.1. By registering, participants release and hold harmless Sydney Beach Tennis School, its directors, officers, employees, volunteers, and agents from any claims, demands, and causes of action arising out of or related to participation in the tournament.

4. Medical Treatment:

4.1. In the event of an injury or illness, participants authorise the provision of emergency medical treatment and agree to be responsible for any associated costs.

5. Insurance:

5.1. Participants are responsible for their own insurance coverage for any injuries or damages incurred during the tournament.

6. Cancellation, Refund, and Registration Transfer Policy:

6.1. Registration fee refunds (minus administration fees) will be applicable if cancellation is made prior to Monday, 24th August 2026.

6.2. A 50% refund will be provided for cancellations made between Tuesday, 25th August 2026, and Thursday, 10th September 2026.

6.3. No refunds will be issued for cancellations made after Thursday, 10th September 2026.

6.4. In case of injury or illness preventing participation, a participant may transfer their registration to another eligible individual by notifying Sydney Beach Tennis School in writing at least 24 hours before the tournament start date.

6.5. As this is an outdoor event, weather conditions are beyond the control of the organisers. Every reasonable effort will be made to complete the tournament, including modifying the schedule, match format or playing times if necessary.The Tournament Director and Referee reserve the right to modify the draw, match format, scoring system or schedule to maximise the opportunity to complete the tournament. If the event is cancelled before play commences due to extreme weather or circumstances beyond the organisers' control, Sydney Beach Tennis School may offer a partial refund or credit towards a future event at its discretion. No reimbursement will be provided for travel, accommodation or other expenses.

6.6. Sydney Beach Tennis School shall not be liable for cancellation, postponement or modification of the tournament due to events beyond its reasonable control, including but not limited to severe weather, natural disasters, government restrictions, public health emergencies or venue closures.

7. Photography and Media:

7.1. Participants grant Sydney Beach Tennis School a royalty-free, worldwide consent to use photographs and video footage captured during the event for promotional, educational, social media, website and future event marketing purposes without compensation.

8. Data Protection:

8.1. Personal information collected during registration will be used solely for the purpose of organizing and managing the tournament. Sydney Beach Tennis School will handle all data in accordance with applicable privacy laws.

9. Governing Law:

9.1. These Terms and Conditions are governed by the laws of New South Wales, Australia. Any disputes arising out of or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of New South Wales.

10. Right to Refuse Entry

10.1. The organisers reserve the right to refuse or cancel any entry where participation is considered inappropriate, unsafe, fraudulent or inconsistent with the spirit of the tournament.

10.2. Tournament Format

Sydney Beach Tennis School reserves the right to merge, split or cancel categories if minimum entry numbers are not achieved. The Tournament Director may also amend the draw, playing schedule, match format or scoring system where necessary due to weather, player withdrawals or operational requirements.

11. Amendments:

11.1. Sydney Beach Tennis School reserves the right to amend these Terms and Conditions at any time. Participants will be notified of any changes prior to the commencement of the tournament.
